Job Description

Position Overview: The KRS Mail & Freight Center Supervisor/Manager oversees the daily operations of our mail and freight center on site at one of their key clients. This individual has a strong background in logistics management, excellent organizational skills, and the ability to lead a team of 7-8 employees, including mail clerks and freight clerks. This is a hybrid role, and involves managing the timely and accurate sorting, delivery, and processing of all incoming and outgoing mail and freight, as well as being the sole onsite point of contact for the customer. The manager ensures that safety protocols are consistently followed, and that customer service remains a top priority. It’s possible that there is limited travel.

Key Responsibilities:

* Team Management: Supervise a team of 7-8 employees, including Mail Clerks and Freight Clerks, ensuring that all tasks are completed efficiently and on time.
* One-on-One Meetings: Conduct regular one-on-one meetings with staff to monitor performance, provide guidance, and ensure adherence to safety standards.
* Customer Interaction: Serve as the sole point of contact for the customer, managing inquiries and requests at the front desk and ensuring a positive and professional experience.
* Supervisor/Manager will directly communicate with onsite facilities manager and will ensure all communications are both coordinated/shared with KRS Leadership
* Client will distribute to KRS a list of employee changes or terminations
* Manager will notify mail or freight clerk to remove and replace name tags as needed at mail slots to assure accuracy of mail delivery.
* Supervisor/Manager will manage all on-site requirements for equipment, and will work with Facilities manager to make sure all equipment owned by end user has proper procedures in place.
* Logistics Management: Oversee the sorting, delivery, and processing of inbound and outbound mail and freight, ensuring accuracy and timeliness.
* Facilities Coordination: Collaborate with the onsite facilities manager to ensure smooth operations and address any logistical issues.
* Record Keeping: Oversee accurate records of all incoming and outgoing shipments and ensure compliance with company policies and safety regulations.
* Communication Management: Answer phones and manage communications related to mail and freight services.
* Process Improvement: Implement strategies to improve efficiency, reduce costs, and optimize workflow within the mail and freight center.
* Safety Compliance: Ensure that all safety procedures are followed by staff and maintain a safe working environment.
* Invoice Management: Submit monthly invoices to the end-user customer via Tradeshift, ensuring accuracy and timely submission.
* Additional Job Processing: Manage all new job processing requests from clients, coordinating with the team to meet client expectations and deadlines.
* New job processing: 1. Receive Job from CEO or Exec Admin 2. Process invoice on Square machine 3. Add job number in square 4. Save hard copy of job so KRS has confirmation of payment on file.
* Payroll Oversight: Oversee payroll processing with the support of the Executive Admin, ensuring timely and accurate payroll for all staff.
* Run payroll through (ADP), weekly
* Employee weekly sick days // vacation days need to be noted on Managers calendar

Qualifications:

* Proven experience in logistics, mail, or freight management
* Strong leadership and team management skills with the ability to mentor and develop staff.
* Excellent organizational and multitasking abilities to handle various responsibilities simultaneously.
* Familiarity with mail sorting, freight handling procedures, and safety protocols.
* Strong communication skills to interact with customers, employees, and management effectively.
* Ability to work onsite and handle physically demanding tasks as needed.

Preferred Qualifications:

* Experience managing a logistics or mailroom operation in a fast-paced environment.
* Familiarity with freight management software and other relevant technologies.

Work Environment:

* This role is primarily onsite, involving a mix of office work, customer interaction, and hands-on mail and freight handling.
* The pace can be fast, especially during peak shipping periods, requiring flexibility and strong problem-solving skills.
* Maintain a clean and organized mailroom. Maintain a clean and organized desk.
* This individual reports to the CEO of KRS

Job Type: Full-time

Pay: $34.00 - $36.00 per hour
