In this role, you will play a key part in managing multiple projects while maintaining high standards of quality, compliance, and operational excellence. Main Responsibilities * Project Oversight: Manage and oversee multiple projects, ensuring they are completed on time, within budget, and aligned with company goals. * Facilities Oversight: Manage and coordinate activities across 20+ facilities, ensuring projects are completed on time, within budget, and aligned with company goals. * Office Operations: Organize and streamline office operations by managing inventory, processing supply requisitions, and overseeing cell phone and computer functions. * Efficiency Improvement: Liaise with the managed services provider for day-to-day operational support, and plan and implement office systems, layouts, and equipment procurement to enhance efficiency. * Technology Implementation: Lead the rollout of scheduling and training technologies, ensuring staff is properly trained and workflows are optimized. * Vendor and Stakeholder Communication: Act as the central point of contact for vendors and internal teams, clarifying project requirements and keeping all parties informed. * Logistics Coordination: Oversee deliveries and vendor interactions to ensure timely completion of project milestones. * Compliance and Documentation: Maintain accurate and organized digital job files in SharePoint and ensure strict compliance with HIPAA, OSHA, FDA, and other regulations. * Team Support: Train staff on project workflows, compliance requirements, and new technologies to enhance team performance. * Process Improvement: Evaluate workflows and implement improvements to increase efficiency and reduce operational costs. * Multi-Project Management: Effectively manage multiple projects in a fast-paced, dynamic environment while balancing competing priorities. Qualifications * We are looking for a detail-oriented, proactive professional with: * Bachelor’s degree preferred or equivalent experience in project management, healthcare, or a related field. * 2+ years of experience in project coordination, ideally within the healthcare or medical equipment industry. * Proficiency in project management tools (e.g., MS Project, SharePoint, or similar platforms). * Strong organizational skills, with the ability to multitask and prioritize effectively in a dynamic environment. * Excellent written and verbal communication skills, with the ability to collaborate effectively across teams and stakeholders. * Demonstrated ability to manage multiple projects simultaneously while meeting deadlines. * Familiarity with healthcare compliance standards (e.g., HIPAA, FDA, OSHA) is highly desirable. * A proactive, solution-oriented mindset and a passion for improving processes and driving results.
